    HOSPITALITY USE CASE

    Seasonal and Event Staff

A resort doubles its headcount for a season. A banqueting operation takes on forty people for a weekend and none of them for the Monday. Hospitality is one of the few industries where the size of the workforce changes faster than any system that supports it.

Communications is where that shows. Handsets have to be issued, tracked and recovered, and the ones that are not recovered are simply gone. This use case sets out what changes when the business line is issued to the phone somebody already owns.

    Solution Highlights

    • eSIM issued without hardware changing hands
    • Withdrawn the day the season ends
    • Agency staff on the property's number
    • No handsets to track or recover

    The Challenge

Issuing hardware to a temporary workforce does not scale in either direction. Kitting out forty people for a weekend takes a supervisor away from the operation, and getting the devices back at the end takes longer, because the ones that matter are the ones nobody returns.

The alternative is worse. Casual and agency staff work on their own numbers, which the property does not hold, cannot route and cannot withdraw. A guest or a supplier who ends up with one of those numbers keeps it long after the person has gone, and the property has no way of knowing.

    The Solution

A business line is delivered by eSIM to the handset the member of staff already owns. Nothing is issued, so nothing has to be signed out, charged, cleaned or chased, and the supervisor's part in it is an entry in the platform rather than an afternoon in a store cupboard.

While they are on, they are a proper extension. They can be dialled internally, put into a group with the rest of their team, and reached by the duty manager the same way a permanent member of staff is.

When the season or the event finishes the line is withdrawn. The property's number stops working on that handset, the member of staff keeps their own number and their own device, and nothing is left in circulation that the property cannot account for.

    What Changes

The first change is the administration. Scaling a team up for an event stops involving hardware at all, which means it stops being rate-limited by how many working handsets are in the cupboard.

The second is what happens at the end. Withdrawal is complete rather than partial, because there is no device to recover — the line simply stops.

The third is that temporary staff are inside the phone system while they are there. Guests and colleagues deal with the property's number, and the calls sit on the same record as everybody else's.

    Key Changes

    • No handsets to issue, clean or recover
    • Lines withdrawn completely at the end
    • Temporary staff reachable as extensions
    • Nothing left in circulation afterwards

    Assessment

Nine questions about your own property. The ones you can't answer are the ones worth looking into.

    How it works today

    • How is a seasonal or agency starter reached on their first shift?
    • Who issues the handset, and who gets it back?
    • What number does a guest see if that person rings them?

    What it is costing

    • How many handsets go unreturned at the end of a season?
    • How long does kitting out an event team take?
    • How much of that call activity reaches your reporting?

    What would change

    • How do you withdraw access when somebody finishes early?
    • Which numbers are still in circulation from last season?
    • Which event would you pilot on?

A workforce that changes size every month needs a communications arrangement that can change with it. Issuing a line rather than a device makes starting and stopping an administrative act rather than a logistical one.

It also closes the gap that temporary staffing usually leaves open: numbers in circulation that the property never controlled and cannot withdraw.
